How to Automate Overdue Invoice Follow-Up

A practical framework for automating invoice reminders while preserving customer relationships and staff judgment.

By The CollectInHouse Team · Reviewed August 13, 2026

Automation works best when it makes a sound receivables policy repeatable. It should not turn every late invoice into the same message or remove the people who handle disputes and exceptions.

Start with the policy

Document when an invoice becomes eligible, which records must be present, which channels may be used, and what should happen after payment, dispute, hardship, bankruptcy, or a request to stop contact.

Use a measured sequence

A useful sequence moves from a clear reminder to convenient self-service and then to a human review. Messages should identify the creditor, explain the purpose, provide a safe way to resolve the balance, and avoid unsupported urgency.

Measure the workflow

Track delivery, engagement, payment, opt-out, dispute, and exception outcomes. Review the sequence regularly so automation supports customer service instead of simply increasing message volume.

Discuss your receivables workflow

We can review your account volume, systems, permissions, payment options, and operating requirements.
